Terms of Service

1. Acceptance of Terms

MedRM is a service operated by MedRM LLC, a limited liability company. By accessing and using MedRM, you accept and agree to be bound by the terms and provision of this agreement. If you do not agree to abide by the above, please do not use this service.

1.1 Eligibility: Healthcare Students and Professionals Only

MedRM is exclusively for healthcare students and professionals, including but not limited to undergraduate pre-health students, medical students, nursing students, residents, attending physicians, travel nurses, PAs, NPs, and PT students. By creating an account, you confirm that you are a healthcare student or professional. Accounts found to be in violation of this requirement are subject to immediate and permanent ban without notice.

To help enforce this, sign-up is limited to verified institutional email addresses: university and health-professional school domains, residency programs, and recognized hospital networks. If your email's domain is not yet approved, you may submit an access request for administrator review. Approval may be granted for an entire institution or for an individual email address, and may be declined at MedRM's discretion.

1.2 Geographic Restriction

MedRM is not available to users located in or accessing from China. If you are in China, you may not use this service. MedRM's infrastructure is located outside of China and cannot comply with China's data residency requirements.

2. Use License

Permission is granted to temporarily download one copy of the materials (information or software) on MedRM for personal, non-commercial transitory viewing only. This is the grant of a license, not a transfer of title, and under this license you may not:

  • Modify or copy the materials
  • Use the materials for any commercial purpose or for any public display
  • Attempt to decompile or reverse engineer any software contained on MedRM
  • Remove any copyright or other proprietary notations from the materials
  • Transfer the materials to another person or "mirror" the materials on any other server
  • Create false profiles or impersonate others
  • Harass, threaten, or abuse other users
  • Post inappropriate, offensive, or illegal content
  • Access, scrape, crawl, copy, or harvest other users' profiles, contact information, or any other data from MedRM, whether by automated means (bots, scrapers, scripts) or manually
  • Use any information obtained from MedRM — including other users' names, email addresses, or contact details — to solicit, market to, or contact users off-platform, or to build, train, or populate any competing or derivative service

Anti-Harvesting: Contact information and profile data on MedRM are provided solely to help verified users find roommates on the platform. Any collection or use of this data for commercial purposes, bulk export, or off-platform outreach is strictly prohibited, will result in immediate account termination, and may be pursued through all available legal remedies, including injunctive relief.

3. Disclaimer of Medical Advice

IMPORTANT: MedRM does not provide medical advice. MedRM is a roommate matching platform for healthcare professionals. The service is not intended to:

  • Provide medical advice, diagnosis, or treatment
  • Substitute for professional medical advice from a licensed healthcare provider
  • Create a healthcare provider-patient relationship
  • Be used for emergency medical situations

For medical questions or concerns, please consult with a qualified healthcare provider.

4. User Responsibilities

You are responsible for:

  • Maintaining the confidentiality of your account credentials and choosing a strong, unique password
  • All activities that occur under your account
  • Notifying MedRM immediately of any unauthorized use of your account at [email protected]
  • Providing accurate and truthful information in your profile, including personal details, professional information, lifestyle preferences (smoking status, languages), roommate preferences, budget, housing types, sex preferences, and pet information
  • Keeping your profile information current and updating it when preferences change
  • Being honest about your availability, location, and event details for each trip
  • Complying with all applicable laws and regulations
  • Respecting other users' privacy and dignity
  • Not misrepresenting your lifestyle, preferences, or personal information to other users

Data Accuracy Notice: The accuracy of your profile information directly impacts the quality of matches. Intentionally providing false information about smoking status, languages, roommate preferences, or other details may result in account suspension or termination.

4.1 Password Security

At signup, MedRM checks your chosen password against HaveIBeenPwned, a public database of passwords exposed in known data breaches. Passwords that have appeared in previous breaches will be rejected. This check uses a privacy-preserving method; your actual password is never transmitted or stored during this check. You are responsible for choosing a unique password that you do not use on other services.

5. Limitation of Liability

MedRM LLC provides MedRM on an "AS IS" and "AS AVAILABLE" basis. No warranties are made, expressed or implied, and all other warranties are hereby disclaimed including, without limitation, implied warranties or conditions of merchantability, fitness for a particular purpose, or non-infringement of intellectual property or other violation of rights.

No responsibility is assumed for:

  • Disputes between users or roommates
  • Compatibility issues with matched users
  • Rental agreements, leases, or housing arrangements
  • Personal safety or security of users
  • Accuracy of user-provided information
  • Any damages resulting from your use of the service

No Consequential Damages. To the fullest extent permitted by law, in no event will MedRM LLC or its members, officers, employees, or agents be liable to you or any third party for any indirect, incidental, special, consequential, punitive, or exemplary damages — including lost profits, loss of data, or personal injury — arising out of or relating to your use of MedRM, whether based in contract, tort, negligence, strict liability, or any other theory, even if MedRM has been advised of the possibility of such damages.

Liability Cap. To the fullest extent permitted by law, the total aggregate liability of MedRM LLC for all claims arising out of or relating to these Terms or your use of the service will not exceed the greater of (a) the total amount of fees you paid to MedRM in the twelve (12) months before the event giving rise to the claim, or (b) one hundred U.S. dollars ($100). Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.

5.2 MedRM Is Not a Party; Release Between Users

MedRM is only a venue that introduces verified healthcare students and professionals to one another so they can arrange housing among themselves. MedRM is not a party to any conversation, roommate arrangement, lease, sublease, payment, or other agreement you enter into with another user. The only verification MedRM performs is confirming that a user controls an email address at a recognized institutional domain (an "email-verified" check). Beyond that limited check described in Section 6, MedRM does not screen, vet, endorse, or guarantee any user, does not conduct background checks, and does not verify any user's identity, real-world credentials, role, or any other claim.

You are solely responsible for your own safety and for exercising your own judgment and due diligence before meeting, communicating with, living with, or entering into any arrangement with another user. If a dispute arises between you and one or more other users, you release MedRM LLC and its members, officers, employees, and agents from any and all claims, demands, and damages (actual and consequential) of every kind and nature, known and unknown, arising out of or in any way connected with such disputes or with any roommate or housing arrangement made through the platform.

5.1 Data Collection & Privacy

MedRM collects personal data to provide the roommate matching service. This includes:

  • Personal & professional information (name, email, age, sex, role, specialty, training year)
  • Lifestyle information (smoking status, languages per trip)
  • Preferences (roommate preferences, housing types, sex preference, budget, housing status, pet information)
  • Location data (home city/state, trip locations, and optionally a precise venue address and geocoded coordinates if provided)
  • Usage data (page views, matching activity, messages, link clicks on affiliate and service providers)
  • Notification and broadcast message history

By creating an account, you consent to the collection and use of this data as described in MedRM's Privacy Policy. Your data will be protected with industry-standard security measures and will not be sold to third parties.

6. User Matching & Compatibility

MedRM provides a matching algorithm to connect users based on stated preferences. However:

  • Matches are suggestions based on available data and do not guarantee compatibility
  • Users are responsible for their own due diligence and verification
  • MedRM does not guarantee the accuracy of user profiles
  • MedRM does not conduct background checks or verify user identities
  • Institutional email verification confirms only that the user signed up with an email from a recognized institutional domain and confirmed ownership of that address. It does not verify the user's identity, credentials, role, or any other claim.
  • All users can view three match states: "Roommate matches" (matched profiles), "Waiting on you" (pending roommate requests from others), and "Waiting on them" (pending roommate requests you've sent)

No Institutional Affiliation: Any medical schools, hospitals, residency programs, or healthcare institutions mentioned by users in their profiles have no connection to MedRM. MedRM is an independent platform and is not affiliated with, endorsed by, or sponsored by any academic or healthcare institution.

6.3 Travel Hub & Third-Party Services

The Travel Hub and match pages provide links to third-party services for housing, transportation, and meals. MedRM does not own, operate, or control these services and is not responsible for their content, availability, pricing, bookings, cancellations, or any transaction you enter into with them. Your use of any third-party service is governed by that service's own terms and policies and is solely at your own risk.

6.4 Affiliate Disclosure

Some links provided in the Travel Hub, on match pages, and in emails sent by MedRM may be affiliate links. Where they are, if you click through and make a booking or purchase, MedRM may earn a commission at no additional cost to you, which helps keep MedRM free to use. MedRM tracks which links are clicked and from which pages to understand which services are most useful to users. Affiliate relationships do not influence which matches are shown to you, and only services believed to be useful to users are included. You are never required to use any linked service.

6.5 User Content Management

You have the following rights to manage your content on MedRM:

  • Delete Trips: You can delete any trip/event at any time. Deleting a trip is permanent and immediately removes it along with any associated matches and groups.
  • Delete Notifications: You can delete individual notifications from your notification history at any time
  • Delete Feedback: You can request deletion of feedback submitted through the contact form
  • Delete Account: You can permanently delete your entire account and all associated data through Account Settings → Delete My Account. Once deleted, this action cannot be undone
  • Block Users: You can block any user from their profile page. Blocked users will not appear in your match results and cannot send you roommate requests. Blocking is mutual in effect: the blocked user will also not see you in their results. You can unblock a user at any time from their profile page.

Broadcast Messages: Broadcast messages sent to users are transactional in nature and cannot be individually deleted, but you can configure your email preferences to reduce notification frequency.

6.6 HIPAA Notice

MedRM is not a HIPAA covered entity and does not handle protected health information (PHI) as defined under HIPAA. The platform collects personal and professional information about healthcare students and professionals for roommate matching purposes only. It does not receive, process, or store patient records, clinical data, or any information about patients. By using MedRM, you agree not to submit any patient-identifiable information or clinical data through any field on the platform.

6.7 Research Data & Conflict of Interest

De-identified, aggregated data may be used for academic or public health research as disclosed in MedRM's Privacy Policy. The operator of MedRM may also participate as a researcher. Where this dual role exists, it will be disclosed in any applicable IRB application and in resulting publications. Institutional IRB oversight will govern all such research.

6.8 Your Content: License & Standards

"Your Content" means everything you submit to MedRM — including your profile details, trip and event information, messages, and feedback. You retain ownership of Your Content. By submitting it, you grant MedRM LLC a worldwide, non-exclusive, royalty-free license to host, store, reproduce, display, and transmit Your Content solely for the purpose of operating, providing, and improving the service (for example, showing your profile to compatible users). This license ends when you delete the content or your account, except for copies retained in routine backups or as required by law, and except for de-identified, aggregated data used as described in the Privacy Policy.

You represent and warrant that you own or control all rights in Your Content, that it is truthful and accurate, and that it does not infringe anyone's rights or violate any law. Your Content must not:

  • Be defamatory, obscene, harassing, threatening, hateful, or discriminatory
  • Contain sexually explicit content or promote violence or illegal activity
  • Infringe any copyright, trademark, privacy, or other right of another person
  • Impersonate any person or misrepresent your identity, role, or affiliation
  • Contain advertising, spam, solicitations, or unrelated commercial content
  • Include any patient-identifiable information or protected health information (see Section 6.6)

MedRM may remove, edit, or refuse any content, and may suspend or terminate any account, at its sole discretion and without notice, if content violates these standards or these Terms. MedRM is not obligated to monitor content and is not responsible for content posted by users.

7. Dispute Resolution

Any disputes arising from your use of MedRM shall be resolved under the laws of the State of Georgia, without regard to its conflict of laws principles. You agree to submit to the exclusive jurisdiction of the state and federal courts located in Georgia. The legal entity responsible for this service is MedRM LLC.

8. Account Termination & Banning

The right is reserved to terminate or suspend your account immediately and without notice if you violate these terms or engage in behavior deemed inappropriate, illegal, or harmful. Upon termination, your right to use the service will immediately cease. Verified reports of impersonating a healthcare professional or misusing the platform can result in a permanent account ban. Banned emails are blocked from creating new accounts.

9. Changes to Terms

These terms may be modified at any time. Your continued use of the service following the posting of revised terms means that you accept and agree to the changes.
